Business Process & COVID-19 Update

During these challenging times and in the interest of all Colleagues & Customers, XDP are paying particular attention to the changing needs of individual Customers and Consignees.


With this in mind, we wanted to reach out and reassure you that we are putting in place a number of robust measures designed to make health and safety a top priority whilst still enabling people to send and receive parcels through our Network.


We understand that deliveries to some residential properties under the present circumstances may result in consignee refusal or late requesting of alternative delivery arrangements.


Whilst XDP look to accommodate where possible these late requests, we are also aware that supplier "Requirements" in relation to "Delivery Instructions" take precedence.


XDP aim to deliver parcels on the 1st attempt minimising re-deliveries or returns should the outcome be unsuccessful.


In line with other doorstep deliveries undertaken by (1 Man) or room of choice delivery’s (2 Man), XDP are making the below 'contact-free delivery' changes where possible, to ensure deliveries are fulfilled on the arranged day of service.


1 Man Service


A) Signing on behalf of & In the presence of the consignee (This is a temporary measure in the event that the consignee does not wish to communicate directly face to face with the driver, but are visible within the property and are happy to share their name for delivery reference), the name provided will be recorded against proof of delivery document and uploaded with a clear photo displaying the front door of the property, the parcel will be left at the front doorstep for the consignee to collect once the driver has departed.


B) If a safe place hasn't been chosen but there is somewhere safe to deliver the parcel to minimise service failure, XDP will leave it there, with a clear photo displaying the delivery location taken by the driver, this photo will again be recorded along with a left safe card though the front door of the delivery property.


C) Should there be no safe place available for delivery, please be assured that we will always attempt delivery 3 times before returning the parcel to the sender.


2 Man Service


D) At the point of delivery arrangements being made with consignees XDP will undertake a Wellness Status check to ascertain if there are any "Self-Isolation" or "Confirmed Case of COVID-19" at the property.  In the event that there are circumstances that will impact on delivering the item, XDP will enquire if the item can be either left with an immediate neighbour (property either side of consignee delivery address only), if this is an acceptable solution for the consignee, arrangements will proceed with a signature being obtained on behalf of the consignee by the approved neighbour, which will be captured on Proof of Delivery together with a photo of the delivery property, the consignee can then make suitable arrangements to collect with immediate neighbour, this removes any potential health & safety risk to the driver in attendance.


E) In the event that the consignee rejects a delivery due to confirmed COVID-19 at the point of booking arrangements – the consignment would be arranged to be Returned to Sender for re-delivery at a later point in time arranged with the supplier.
